Invoices

The Invoices screen in the client portal shows the invoices the practitioner has shared with the client. Each invoice shows its number, amount, invoice date and payment status; one button downloads it as a PDF. This screen is part of the client portal (mijn.scrivio.nl).

How an invoice gets here

An invoice does not appear here by itself. Two things have to happen, and the second is an action by the practitioner:

  1. The invoice has been finalised. On finalising, the invoice is assigned its invoice number and Scrivio files the PDF as a document in the client's record. A draft invoice has no stored document and can therefore never reach the portal.
  2. That document has been made visible to the client. Visibility lives on the document, not on the invoice: only once the practitioner shares the stored invoice document from the client's record does the invoice appear on this screen. Hide the document again and the invoice disappears from here too.

What the client downloads is exactly that stored document — the PDF filed when the invoice was finalised, not a fresh render using today's data. An invoice withdrawn after it was sent (cancelled) can no longer be retrieved.

Scrivio sends the client no portal invitation and no email when a new invoice arrives. The practitioner points the client to mijn.scrivio.nl themselves. See Getting an invoice to the client for the practitioner-side steps.

Viewing invoices

After signing in, the client opens Invoices from the menu. The screen shows a list of every invoice shared with the client. For each invoice you see:

  • Invoice [number] — every invoice that reaches the portal is final and therefore carries an invoice number;
  • the amount and the invoice date;
  • the payment status as a marker.

The payment status is worded for the client, and those words deliberately differ from the status names the practitioner sees:

Status in the portalMeaningCalled, for the practitioner
OutstandingThe invoice is final and not yet paid.Final
PaidThe invoice has been paid in full.Paid
OverdueThe due date passed without payment in full.Overdue

When no invoices have been shared yet, the screen reports that no invoices have been shared with the client. If loading fails, the client can try again with the Try again button.

Loading invoices

Invoices are ordered by invoice date, most recent first. There is no search or filter field; the list shows all invoices shared with the client.

When there are many invoices, the list loads in batches. A Load more invoices button then appears at the bottom, which the client uses to fetch the next invoices. The button disappears once everything has been loaded.

Downloading an invoice

Next to each invoice is a Download button. It saves the PDF to the client's own device, named factuur-[invoice number].pdf. While downloading, the button shows Downloading.... If it fails, an error message appears and the client can try again.

Unlike Documents there is no detail screen and no built-in viewer: an invoice is downloaded, not opened in the portal. An invoice never asks the client for an acknowledgement either.
