Onboard a new client

This journey walks through the full onboarding of a new client: from creating the client to the point where they can access the client portal. Each step links to the view reference page for the details — here you mainly learn which steps to take, in what order, and why.

The order is:

  1. Create the client
  2. Start a care trajectory
  3. Record policy and financing
  4. Client portal access

Onboarding touches several screens. For the whole journey you'll need the permissions clients.create, clients.update, care_trajectories.create and — if you want to share anything with the client — forms.assign and documents.expose.

Step 1 — Create the client

Start in the Clients overview. Click New client and fill in at least the required personal details. Also enter the email address if the client will use the portal later — that is the address the sign-in link is sent to (see step 4).

After saving you land directly on the new client's detail page.

Step 2 — Start a care trajectory

A client without a care trajectory cannot yet be treated or billed. From the client record, open Care trajectories and create a new one. The setting, start date and lead practitioner are required; diagnosis, profile and referral can be recorded now or later.

Right after creation, the care-demand classification (zorgvraagtypering) dialog opens — a separate step that determines the care intensity.

Step 3 — Record policy and financing

Record how the care is funded so you can bill later. In the client record, open the Financing tab (Client financing) and choose one or more funding sources under Funded by:

  • ZPM / insurance — add the client's policy and optionally verify it via VECOZO COV.
  • Own contribution — enter the IBAN and account holder.

Step 4 — Client portal access

The client needs no separate account or password. Access to the client portal (mijn.scrivio.nl) works through a personal email link: the client requests a link on the sign-in page and lands in the portal after clicking it. So make sure the email address from step 1 is filled in.

Give the client something to see in the portal by assigning a form (Assign a form) or making a document visible in the portal. Both then appear on the client's overview.
