AI transcription of a conversation

This journey describes the full flow of an AI transcription: from starting a recording on an appointment, through processing by the speech-to-text engine, to the result in the client record. Each step links to the view page where you'll find the details; here you only see how the steps fit together.

Step 1 — Start the recording

You start a recording on the appointment the conversation belongs to. There are two places to do this:

  • From the dashboard. Click the transcription button on an appointment card. You jump to the appointment detail, where the recording starts inline. See Start a transcription.
  • From the appointment detail. Open the appointment and start the recording in the Transcripts block in the left column. See View transcripts.

Step 2 — Processing

After the recording, Scrivio processes the audio in the background: speech is converted to text and separated per speaker (diarization). In the Transcripts block on the appointment detail you follow the status; once processing is done, the transcribed text appears. See View transcripts for the statuses and what you see per transcript.

Step 3 — Result in the client record

Once the transcript is ready, you can use the text for your reporting:

  • On the appointment detail the transcript stays with the appointment and can be re-read in the Transcripts block. See View transcripts.
  • In a form submission the transcripts of a linked appointment are shown, so you can use them alongside the answers. See View transcriptions.
  • In the client record the recent conversation content feeds the automatically generated AI summary on the Overview tab. See View the AI summary.

That way the transcript flows from recording to record through one coherent journey.
