Practice details

The Practice details screen holds your own practice's details: the name, the logo, the contact and address information, the KVK number and AGB code, the kind of healthcare provider and the IBAN. You open it from the Practice details card on the settings overview.

Overview

Route/organization/practice
AudiencePractitioner (everyone reads, the organization administrator edits)
Required permissionsNone to view; organization.settings.update to edit

Everyone in the organization sees every field. An empty field reads Not set — it does not disappear, so you can see what is still missing.

The screen has five blocks: General, Contact, Address, Registrations and Bank details. With the organization.settings.update permission each block has its own Edit button, and a block saves only its own fields. One block is edited at a time.

Emptying a field clears it. That holds for every field except the name, which is required — the AGB code included. The form does not refuse a missing AGB code; Scrivio reports it with a signal instead, because claims cannot be filed without one.

How it works

AGB, KVK and IBAN drive billing

The fields in the Registrations and Bank details blocks are not just administrative: they are reused when filing claims and invoicing.

  • The AGB code identifies the organization as a care provider on claims to health insurers; a missing or incorrect code leads to rejected or unprocessable claims.
  • The KVK number appears as the company identifier on invoices.
  • The IBAN is stated as the account number on invoices, so clients and insurers know where to pay.

Because these values are carried downstream, a correction here flows through to claims and invoices you create afterwards; documents already sent do not change retroactively.

Zorgaanbiedersoort: section 2 or section 3

Kind of healthcare provider — zorgaanbiedersoort in Dutch, and the word insurers use — in the Registrations block states the capacity in which your organization files claims: as an Institution, as a Practice or as an individual Practitioner. That value identifies your organization as the declarant in every claim message sent to a health insurer, and so applies to all the lines in it — it is rubriek 3802 (ZorgaanbiederSoort) in the GDS801 message, from the national Vektis code list CL0015-VEKT.

Insurers and prospects usually ask the same question in different words: "are you section two or section three?" That refers to the section split of the kwaliteitsstatuut — section II for independently established providers, section III for institutions. When a claim is rejected over this value the rejection is often worded in those terms, even though the quality institute itself has nothing to do with it.

The confusing part is that this one question is answered by two fields in Scrivio:

Kwaliteitsstatuut sectionTreatment setting (per care trajectory; the default is on the Declaring settings screen)Kind of healthcare provider (Registrations block)
Section II — independently establishedAmbulant kwaliteitsstatuut sectie IIPractice or Practitioner
Section III — institutionAmbulant kwaliteitsstatuut sectie III (mono- or multidisciplinary), KlinischInstitution

The treatment setting drives the NZa rate of a session; the zorgaanbiedersoort drives how your organization identifies itself in the message. They are related, but they are not the same field and they are filled in at different moments.

The zorgaanbiedersoort follows the AGB register, not your kwaliteitsstatuut. Usually those amount to the same thing, but not always. For AGB-soort 94 (psycholoog) Vektis notes explicitly: "Voor Wtza/kwaliteitsstatuut geldt dat Psycholoog gezien wordt als 'instelling'. In AGB dus als 'praktijk'." So a psychology practice that falls under section III for the kwaliteitsstatuut is registered as a praktijk in the AGB register and should pick Practice here. That exact combination produced a rejection from Zilveren Kruis: "Rubriek 3802: u moet hier 2 (praktijkcode) vullen. U heeft 1 (code instelling) gevuld."

Scrivio does not derive the value for you. The first two digits of your AGB code yield a plausible suggestion at most; only your organization knows which registration its AGB code actually carries. So Scrivio fills in nothing when you have chosen nothing, and refuses to build a claim message while the value is Not set — see Set the zorgaanbiedersoort.

Manage logo

The logo sits in the General block and is visible to everyone. With the organization.settings.update permission you can also change it:

  • Upload or change — click Upload logo (or Change logo if a logo already exists) and choose a file. The allowed formats are PNG, JPEG and SVG, with a maximum file size of 2 MB. The recommended size is 300 × 100 pixels.
  • Delete — click Delete (only visible when a logo exists) and confirm in the dialog to remove the logo.
FieldRequiredDescription
Logo fileYesA PNG, JPEG or SVG file of at most 2 MB. An invalid type or an oversized file is rejected with a message.

Logo changes are saved immediately, independent of the Edit button.

The logo appears in a letter at the spot where the letter template contains the {{organization.logo}} merge field — Scrivio does not place it there by itself. See Letter templates → The practice logo.

Edit name

The name lives in the General block. Click Edit, change the Name field and click Save.

FieldRequiredDescription
NameYesThe display name of the organization.

Edit contact info

The Contact block manages the organization's phone number and email address.

FieldRequiredDescription
Phone numberNoThe general phone number. It is format-checked; an invalid notation shows an error and blocks saving.
Email addressNoThe general email address of the organization.

Edit address

The Address block records the organization's address.

FieldRequiredDescription
StreetNoStreet and house number.
Postal codeNoThe postal code.
CityNoThe city name.

Edit KVK / AGB

The Registrations block records the organization's KVK number and AGB code.

FieldRequiredDescription
KVK numberNoThe registration number with the Dutch Chamber of Commerce.
AGB codeNoThe organization's AGB code: eight digits. An invalid code shows an error and blocks saving. Clearing it is allowed.

Set the zorgaanbiedersoort

The same Registrations block holds Kind of healthcare provider (zorgaanbiedersoort): the capacity in which your organization files claims. Click Edit, pick a value from the dropdown and click Save.

FieldRequiredDescription
Kind of healthcare providerNo to save, yes to file claimsInstitution, Practice or Practitioner. Must match how this organization's AGB code is registered in the AGB register — see Zorgaanbiedersoort: section 2 or section 3.

The dropdown starts at Not set, and while nothing has been picked the row says so — precisely because that is the value you need to act on.

What happens when the value is missing or wrong:

SituationConsequence
Not setScrivio builds no claim message. Download XML fails with a message saying the organization has no zorgaanbiedersoort set.
Contradicts the AGB codeScrivio blocks the export with a message saying the configured value contradicts the AGB-soort of your AGB code; correct either the zorgaanbiedersoort or the AGB code.
Filled in and plausible, yet wrongScrivio cannot see this — the AGB register admits more than one value for some AGB-soorten. The insurer rejects the claim instead, weeks later.

That last row is why the value is worth checking once, deliberately, rather than leaving it as it stands: the blocks above catch a missing and a contradictory value, but not every incorrect one.

These checks run when the claim message is built, not as a signal beforehand. An incorrectly set zorgaanbiedersoort therefore does not appear in the Billing paused message on the billing screen.

Edit IBAN

The Bank details block records the organization's IBAN. This account number is used, among other things, on invoices.

FieldRequiredDescription
IBANNoThe organization's account number.
