Documents

On the Documents screen the organization administrator manages the organization's document labels and default documents. It sits in the settings overview in the Organisation group.

Overview

Route/organization/documents
AudiencePractitioner (organization administrator)
Required permissionsdocuments.manage_labels for document labels, organization.settings.update for default documents

The two blocks are governed by different permissions. You see the Documents card if you hold either, and on the screen only the block you hold the permission for. Each block saves its changes directly.

Manage document labels

The Document labels block manages the labels used to categorize documents. You can:

  • Add — click + New label, enter a name, pick a color and click Add.
  • Edit — click Edit on an existing label, change the name or color and click Save.
  • Delete — click Delete on an existing label and confirm.
FieldRequiredDescription
NameYesThe label name (maximum 100 characters).
ColorNoThe color the label is displayed in.

Manage default documents

Default documents are documents every client gets in their dossier, for example the no-show policy. New clients get them automatically.

  • Add default document — pick a file (PDF or image, at most 10 MB), give it a name and choose whether it is shared with the client through the portal and whether the client has to acknowledge it.
  • Add to dossiers — each default document shows how many active clients do not have it yet. This button adds it to their dossiers in the background.
  • Revoke — removes the document from the dossiers where the client has not acknowledged it yet. Where it was acknowledged the document stays, but it is no longer visible in the client portal.
